You’ll play a vital role in keeping our operations running smoothly and supporting our team to work efficiently and enjoyably, whether you’re a student gaining hands-on experience or a part-time professional seeking a meaningful role in a modern, tech-driven environment.

Where you’ll make a difference
Organize and coordinate meetings, conferences, and appointments with clients, partners, and internal teams, while preparing rooms
Oversee office supplies, hardware and facility needs to ensure a fully equipped and smooth-running office
Manage travel bookings, compile invoices, handle cost centers, and process expense reports for partners
Handle daily administrative tasks including filing, mail and shipping, report preparation, and general office operations
Plan and coordinate internal team events for the Rewire DACH team, and assist with preparation and execution of external events like Rewire Live
Facilitate the onboarding process for new employees, ensuring a structured and welcoming start

You’re a proactive, reliable, and organized team player who enjoys keeping things running smoothly and supporting others. You’ll thrive with us if you bring:
A strong foundation in office administration, business, or a related field – through a completed commercial education (kfm. Ausbildung), relevant professional experience, or current studies (e.g., Business Administration, Management, or Economics) – suitable for working students and part-time professionals
Practical experience in office administration, coordination, or customer support – demonstrating your ability to organize tasks, manage processes, and confidently use MS Office and other relevant tools
Excellent organizational skills and attention to detail – you excel at keeping multiple tasks on track and maintaining high standards
A hands-on, service-oriented mindset – you take ownership of your tasks, embrace challenges, and ensure smooth operations that create real value for the team
Strong communication skills and a collaborative spirit – you enjoy working with colleagues, supporting others, and fostering a positive, inclusive work environment
Fluency in both English and German (written and spoken)
Where and how you’ll work
While your main workspace is our office in Heidelberg, occasional work from home is possible in alignment with your team. The role is designed for around 16 hours per week, ideally spread across four days, ensuring continuity, collaboration, and flexibility.
Most tasks can be carried out in German, while some communication and collaboration require English, reflecting our bilingual working environment.
